Auto Save and Backup Files: How They Work and When to Use Them

Posted by: BusinessGenetics on 3/26/2010

The GOLDEN RULE: Autosave and backup files should never be used as alternatives to normal and regular savings. ALWAYS SAVE EARLY & SAVE OFTEN!

AutoSave
Auto saved files are temporary files that the W5 creates automatically as a means to recover data in the event of a system or application crash. This file is created in the same directory where your file exists. The auto saved file will have a "~" in front of the name and is often grayed out. Keep in mind that the auto saved version of your file is deleted when the application is shut down normally.

This means, if something unexpected happens to your file and you close down the application thinking you can just restore the data from the autosave file, you would be wrong, since the autosave file is deleted when you close down the application.

The default autosave settings (Tools-Options-Auto Save)are as follows:
Auto Save = True
If this is set to False, no autosave file will be created
Auto Save Interval (Seconds) = 60
This determines how often the autosave file will be updated. By default it is set to every 60 seconds.
Smart Interval = True
If this is set to true, the program will calculate the amount of time it will take to save your file. If the actual time to save the file exceeds the Auto Save Interval, it will automatically increase the Auto Save Interval to accommodate this.

Backup Files
Every time you choose to SAVE a file, a backup file is also generated. Backup files are only generated when you physically save a file, they are not created automatically.

This means, if you loose data and want to restore the file from a backup version, you will only be able to restore to the last time you saved your file.
Backup files of xBML documents are stored in the following location C:\Program Files\xBML Innovations\xBML Client\Backup\YOUR FILE NAME. To recover a backup file, just browse to the Backup Folder. Browse to the folder with your file name. Open the file you wish to restore. Then save-as a new file in the appropriate folder.

NOTE: The software limits the number of backup files to 10 per folder. Once 10 files have been reached, it will start overwriting the oldest backups first.
